1. Introduction

This Privacy Policy describes how Strumode LLC ("Strumode", "we", "us"), a Texas operations-engineering firm, handles information when you visit strumode.com (the "Site"), engage our private installations, or otherwise communicate with us (collectively, the "Services"). Discretion is the product; this policy is written to reflect that.

2. Information we collect

2.1 Information you provide directly

Contact and engagement information: name, email address, phone number, firm name and role, information shared during an audit or onboarding, billing details, and communication preferences. Correspondence: messages you send us, inquiries, and feedback.

2.2 Information collected automatically

Hosting logs only: our hosting provider (Netlify) processes IP addresses in standard server logs to deliver the Site and prevent abuse. The Site itself runs no analytics and sets no tracking of any kind. Form submissions are processed by Netlify Forms on our behalf; scheduling runs through Cal.com under its own privacy policy.

2.3 Operational data inside your installation

An installation operates on the working data of your firm — books and ledgers, invoices and obligations, calendars, correspondence, records, and files. This data lives in accounts you own. We hold scoped access to operate the system; we do not take custody, and it does not become ours.

2.4 Intelligent-processing data

To operate the system, instructions, prompts, relevant operational context, and system outputs are processed by the intelligence layer, and material actions are recorded in an execution log traceable to the rule or instruction that authorized them.

2.5 Information from third parties

Connected services you authorize (for example accounting, payments, mail, and calendar platforms) make information available to the installation under your grants. Our payment processor provides us billing status; we do not store full card or bank numbers.

3. How we use information

3.1 To operate the engagement

We use information to conduct audits, engineer and install systems, operate them within owner-approved rules, surface decisions for your approval, provide support, and maintain the record.

3.2 Security and integrity

We use information to authenticate access, monitor for unauthorized activity, investigate incidents, and protect clients, Strumode, and others.

3.3 Legal compliance

We process information to comply with law, respond to lawful requests, enforce agreements, and maintain required records.

3.4 Communications

We send engagement communications, security notices, and — only with your consent — our letter. You may unsubscribe from non-essential communications at any time.

3.5 What we do not do

WE DO NOT SELL PERSONAL INFORMATION. WE DO NOT RUN ADVERTISING ON YOUR DATA. AND WE DO NOT USE YOUR FIRM'S OPERATIONAL DATA TO TRAIN GENERAL-PURPOSE AI MODELS — YOUR OPERATION IS NOT OUR TRAINING SET.

4. How we share information

4.1 At your direction

The system moves information between the services you have connected — issuing an invoice, filing a record, arranging a meeting — under your rules.

4.2 Subprocessors

We use a small set of providers to deliver the Services: cloud infrastructure and hosting; foundation-model providers that process prompts under agreements which prohibit training on your content; payment processing; and communications delivery. Each is bound to use information only to provide services to us.

4.3 Aggregated and de-identified data

We may use de-identified, aggregated measures (for example, hours returned or settlement rates) to understand and improve the Services. These cannot reasonably identify you or your firm.

4.4 Business transfers

If Strumode is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction; we will notify affected clients of any change in ownership.

4.5 Legal requirements

We may disclose information where we believe in good faith it is required by law, court order, or lawful request, or necessary to protect the rights, property, or safety of a client, Strumode, or the public. Where lawful, we will notify you before disclosing engagement information.

5. Custody and location

Installation data resides in your accounts, under your ownership, throughout the engagement. Credentials you provide are stored encrypted and used only for the engagement. Strumode operates from the United States (Texas); our subprocessors may process data elsewhere in the United States.

6. Retention

We retain engagement information for the duration of the engagement and as needed to comply with law, resolve disputes, and maintain business records. On termination we conduct an orderly off-boarding: our access is revoked and your records remain in your accounts. Billing records are kept as required by tax law (typically seven years). Site analytics are retained in aggregate.

7. Security

7.1 Measures

Encryption in transit and at rest for data we hold; least-privilege, scoped access to client systems; multi-factor authentication on our own accounts; segregated credential storage; execution logging; and periodic review of access grants.

7.2 Your part

Keep your own credentials confidential, use strong authentication on your accounts, and tell us promptly if you suspect unauthorized access.

7.3 Incident notice

If a breach compromises your personal information, we will notify you without undue delay, as required by applicable law, with what we know and what we are doing.

8. Your rights and choices

8.1 Access, correction, deletion

You may request access to, correction of, or deletion of personal information we hold about you, subject to legal retention requirements. Because installation data lives in your own accounts, you hold it already.

8.2 Automated action

The system acts only within rules you approve, and decisions you designate are always surfaced for human signature. You may tighten rules or request human review of any action at any time.

8.3 Marketing choices

The letter is consent-only, and every issue carries an unsubscribe. We do not send cold marketing to engagement contacts.

8.4 Exercising rights

Write to info@strumode.com with the subject "Privacy Request." We will verify your identity and respond within thirty days or as law requires.

9. Cookies and analytics

The Site sets no cookies and runs no analytics or advertising trackers. The only client-side storage is a temporary, first-party flag that times an opening animation and clears when your tab closes. We have not sold or shared personal information, as those terms are defined by the CCPA, in the preceding twelve months — and we do not intend to.

10. International visitors

The Site and Services are operated from the United States and directed to United States businesses. If you access them from elsewhere, you consent to processing in the United States, where privacy law may differ from your jurisdiction's.

11. Children

The Services are for business use and not directed to anyone under 18. We do not knowingly collect information from children; if you believe a child has provided us information, contact us and we will delete it.

12. State privacy rights

Depending on your state of residence (including California and Texas), you may have statutory rights to know, access, correct, delete, and obtain a portable copy of personal information, and to non-discrimination for exercising them. We honor verified requests as described in Section 8. We do not sell or share personal information as those terms are defined in the California Consumer Privacy Act, and we recognize the Texas Data Privacy and Security Act's consumer rights.

13. Changes to this policy

We may update this policy as our practices or the law change. We will post updates here, revise the date above, and notify engaged clients of material changes by email. Continued use after changes constitutes acceptance.
